How to send bulk texts with Microsoft Teams
Bulk Texter Pro's Microsoft Teams integration requires Bulk Texter Pro v3.6.2 or later.
Overview
Microsoft Teams doesn't include built-in bulk texting or mail merge capabilities. Bulk Texter Pro adds those features, allowing you to send personalized text messages through your existing Microsoft Teams phone number. Since messages come from your existing Teams number, recipients can recognize you as the sender and continue the conversation naturally.
Whether you're a teacher reminding students about assignments, a church contacting members, or a small business following up with customers, Bulk Texter Pro lets you import contacts from a spreadsheet and send individualized text messages that appear as normal Microsoft Teams conversations.
Why Microsoft Teams?
Many organizations already use Microsoft Teams Phone for calling and texting. Bulk Texter Pro extends those capabilities by adding features such as:

No API setup or admin access required
Bulk Texter Pro is the only way to add bulk texting and mail merge to an individual user's native Microsoft Teams phone number. Without Bulk Texter Pro, your only option is sending texts one at a time, by hand, from the Chat panel.
Bulk Texter Pro doesn't require any API to configure, and no extra admin access beyond what Microsoft already requires to enable SMS on your number (see Prerequisites below). If your Teams number is already set up for texting, all you have to do is:
- Install the Bulk Texter Pro browser extension.
- Sign up for a subscription.
- Start sending.
How does it work?
With Bulk Texter Pro, every individual user on a Microsoft Teams account will be able to send bulk personalized texts from their own Teams phone number.
Bulk Texter Pro works by performing clicks and other actions on the Microsoft Teams web app on your behalf. You must have an active, SMS-enabled Teams phone number and be signed into the web app, with Chat pinned in your sidebar, for Bulk Texter Pro to work.
Prerequisites
To use Bulk Texter Pro with Microsoft Teams, you must meet the following criteria:
- Sign into the Microsoft Teams web app.
- Have an active Microsoft Teams Phone calling plan (available in the US and Canada) with a valid, SMS-enabled phone number on your profile. This has to be turned on by your Teams administrator — see Microsoft's SMS in Teams documentation for details.
- Make sure "Chat" is pinned in your Microsoft Teams sidebar. Bulk Texter Pro needs the Chat panel visible in order to find and send your messages.
- Have an active Bulk Texter Pro subscription, and have it installed in one of our supported browsers.
Setup
Step 1: Microsoft Teams SMS setup
Sign into the Microsoft Teams web app. Make sure that you're able to send SMS messages via Teams before you start using Bulk Texter Pro with it — try texting your own cell phone from the Chat panel.
Teams requires SMS to be live on your account before any texting – manual or automated – will work. That means having an SMS-enabled Teams Phone number, which your Teams administrator sets up. See Microsoft's SMS in Teams documentation if your number isn't texting yet.
Once you can send a text manually, pin Chat in your Teams sidebar if it isn't already (right-click the app bar and choose to pin or add Chat).

Step 2: Send texts
Now that your Microsoft Teams account is set up, you can start using Bulk Texter Pro!

To send texts with Microsoft Teams, just make sure that you've selected "Microsoft Teams" in the Texting Platform drop down in the 1 – Choose Settings section.
While Bulk Texter Pro is sending texts, it will show its progress live in a popup on your Teams tab:
Personalizing your messages
Bulk Texter Pro's mail merge is the reason a batch of 30 texts takes minutes instead of an afternoon. You write the message once with {Placeholders} in it, and every recipient gets their own version.
Start with a spreadsheet — an export from whatever system you already use, or something you typed by hand. It needs a column of phone numbers, plus a column for anything that changes per recipient. Here's what that looks like for a teacher reminding students about a missing assignment:

Microsoft Teams limitations
Microsoft Teams has a couple of limitations that are outside Bulk Texter Pro's control. Both come directly from Microsoft — see Microsoft's SMS in Teams documentation for their own description.
- No group texts: Microsoft Teams SMS only supports one-on-one conversations — there's no way to include more than one recipient in the same thread. If Microsoft adds group SMS support down the road, we'll add support for it in Bulk Texter Pro too.
- No photos: Microsoft Teams doesn't support MMS or photo attachments on SMS conversations at all. Same as above — this is a Microsoft limitation, not ours, and we'll support it if Microsoft does.

Frequently Asked Questions
Does Bulk Texter Pro use my Microsoft Teams number?
Yes, Bulk Texter Pro will send messages via your own Teams phone number, and conversations will appear in your Microsoft Teams account.
Is there an API for sending bulk texts through Microsoft Teams?
No. Microsoft doesn't publish an API for native Teams SMS, so there's no developer route to bulk or mail-merge texting through a Teams Phone number at all. Bulk Texter Pro works directly through the Teams web app that you already use, which is what makes it the only way to add mail merge to an individual Teams number.
Do I need admin access to my Microsoft Teams account?
Not for Bulk Texter Pro itself. You only need admin involvement for enabling SMS on your Teams Phone number in the first place, which is a Microsoft requirement, not ours. Once your number can text, any individual user can start using Bulk Texter Pro on their own.
Can recipients reply?
Yes, your messages will come from your own Teams number, and recipient responses will be sent back to your Teams number.
Can I create group texts with Microsoft Teams?
No. Microsoft Teams only supports one-on-one SMS conversations, so every recipient gets their own private conversation. That's a limitation on Microsoft's side, not ours — if they add group texting support down the road, we will too.
Can I send photos with Microsoft Teams?
No. Microsoft Teams doesn't support MMS or photo attachments on SMS conversations. As with group texts, that's a Microsoft limitation rather than something Bulk Texter Pro restricts, and we'll add support if Microsoft does.
Why do I need to pin "Chat" in my Teams sidebar?
Bulk Texter Pro sends messages by driving the Microsoft Teams web app the same way you would, and it needs the Chat panel visible in order to find and use it.
